Job Description:

We are currently seeking two part-time Executive Assistants to support our Group CEO in managing communication, scheduling, and administrative tasks. The ideal candidates are fluent in German and English, possess a financial background (e.g., accounting), and have experience working as an executive assistant in a similar role. This position requires excellent organizational skills, attention to detail, and the ability to manage tasks independently.

Responsibilities:

  • Act as the main point of contact and manage all communication on behalf of the Group CEO.
  • Coordinate and schedule Zoom meetings, ensuring all relevant parties are informed and prepared.
  • Assist in the acquisition process by contacting targets and facilitating communication.
  • Maintain a well-organized schedule for the Group CEO, optimizing efficiency and prioritizing tasks.
  • Prepare and distribute important documents, reports, and presentations as required.
  • Conduct research and compile relevant information to support decision-making processes.
  • Collaborate with other team members to ensure effective communication and task coordination.
  • Implement and maintain process-driven approaches to managing communication and schedules.
  • Provide administrative support, including managing email correspondence and organizing files.

Requirements:

  • Fluent in both German and English, with excellent verbal and written communication skills in both languages.
  • Financial background preferred, such as experience in accounting or finance-related roles.
  • Proven experience as an executive assistant or in a similar administrative role.
  • Proficient in using digital communication and scheduling tools, such as Zoom and calendar management software.
  • Highly organized with exceptional attention to detail and the ability to multitask effectively.
  • Self-motivated and capable of working independently, demonstrating strong problem-solving skills.
  • Comfortable working remotely and able to maintain a high level of productivity in a flexible work environment.
  • Previous experience in M&A or the B2B marketing industry is a plus.

Working Hours:

This position is available as a part-time role at 50% or a full-time role at 100%, depending on the candidate's availability and preference. The working schedule will be discussed and agreed upon with the selected candidate.
